AI email assistant for Gmail: tenant threads linked to bookings
Every operator has one: the shared mailbox. In a 120-room operation it can bring in 20-30 tenant emails a day - a payment question, a request to extend, a broken shower, a parent asking about the deposit. Each one starts the same way: find the tenant, open the booking, check the payments, then write the answer. At 5-7 minutes per email, that is 2-3 hours a day before anyone has done anything else.
That is exactly the work an AI email assistant should take on - especially for the emails that arrive at 23:00 on a Sunday and otherwise wait until Monday.
The AI Email Bot, part of VIVIN's tenant communication tools, works inside your team's own Gmail. It reads incoming tenant emails, links each thread to the right booking, and writes the reply as a draft in the same Gmail thread - with the tenant's real booking, payment and ticket data - so your team only has to review and send.
Why a shared tenant inbox eats 2-3 hours a day
- A lookup for every email - the inbox doesn't know which booking an email belongs to, so someone has to find it
- Answers that wait - evening and weekend emails sit unanswered until the next working day
- Who replied? - two people answer the same email, or nobody does
- Context in two places - the conversation lives in Gmail, the booking lives elsewhere
How does an AI email assistant for Gmail work?
1. Connect your Gmail mailbox
Go to Settings > ChatBot and open the Connections tab. On the Email bot mailbox card, click Connect email mailbox, then Continue to Google, and sign in with the mailbox your team uses. VIVIN asks Google for permission to read the mailbox and to write drafts and replies in it. The card then shows Connected mailbox with the address, and you can Reauthorize or Disconnect at any time.
2. Every thread finds its booking
When an email arrives, VIVIN matches the sender's address to a tenant in your account and links the thread to that tenant's current booking - or the next upcoming one, or the most recent. In the Inbox, each thread shows the unit, the dates and the booking status, and the same emails appear on the booking's Communication tab. Senders VIVIN cannot match are marked No booking and grouped under Unknown, so nothing gets lost.
3. The bot drafts the reply in the thread
Under Reply mode you choose Create draft (the default) or Send automatically. In draft mode, the reply is saved as a real draft inside the Gmail thread, so your team can send it from VIVIN or straight from Gmail. The bot writes as your team, in the tenant's language, using your ChatBot persona, special rules and published tenant FAQs, plus live data on the tenant's booking, payments, contract and tickets. It only answers tenants it recognizes from emails that pass sender checks, and it ignores auto-replies, mailing lists and no-reply senders.
4. It knows when to hand over
Refunds, credits and legal questions are passed to your team. Non-urgent maintenance requests become a ticket, after checking that one is not already open. And when the bot cannot answer, you get a notification - Email needs a human reply - that takes you straight to the thread.
5. Review and send from the Inbox
Open Tools > Inbox - the same unified inbox that holds your WhatsApp chats - and choose the Email tab. A thread with a pending reply shows the banner Bot draft awaiting review, with Send draft, Edit and Discard. Filter by Unread only or Awaiting reply to see what still needs an answer; a Waiting chip shows how many days a sender has been waiting. When other people are in copy, tick Reply all, and use Mark as unread to keep a thread on your list. New emails appear within about 2.5 minutes.
AI email assistant vs a shared inbox: the numbers
An illustrative estimate for a team receiving around 25 tenant emails a day, where roughly 60% are routine questions:
| Step | Shared inbox | With the email bot |
|---|---|---|
| Finding the booking behind an email | 2-3 min | Already linked |
| Answering a routine question | 3-5 min | About 1 min to review a draft |
| An email sent on Sunday night | Waits until Monday | Draft ready when the team starts |
| Knowing who replied | Unclear | Bot, Team or You on every thread |
| Team time on tenant email per day | 2-3 hours | 45-65 minutes |
Over a month, that is 25-45 hours back for the team in this example - and tenants get a correct, specific answer instead of a holding reply.

The Sunday night payment question
A tenant asks at 23:00 how much is left to pay before move-in. By Monday at 9:00 the draft is in the thread with the exact amount from the payment plan. One click on Send draft, and it is done.
Drafts first, automatic later
Most teams start in Create draft mode and read every reply for a few weeks. Once they trust the answers, they switch Reply mode to Send automatically - VIVIN asks you to confirm, and you can switch back to drafts at any time.
The broken shower
A tenant emails about a shower that drains slowly. The bot checks for an open ticket, creates one if there is none, and the draft reply confirms that the team has been notified.
A parent in copy
A tenant's parent is copied on a question about the deposit. Your colleague ticks Reply all so the answer reaches both, without leaving VIVIN.

Frequently asked questions
What is an AI email assistant for property managers?
It is a bot that reads incoming tenant emails and prepares the answers. In VIVIN, it works inside your team's Gmail, links each thread to the tenant's booking, and writes a draft reply in the same thread using live booking, payment, contract and ticket data. Your team reviews and sends it.
Does the email bot send replies without review?
Only if you choose so. Reply mode starts on Create draft, so every reply waits in the thread for your team. Switching to Send automatically asks for confirmation, and you can go back to drafts at any time. Refunds, credits and legal questions are passed to your team.
Which emails does the bot answer?
Only emails from senders it recognizes as tenants in your account, and only when the email passes sender authentication checks. It ignores auto-replies, mailing lists and no-reply addresses. Emails from unknown senders still appear in the Inbox, marked No booking, so your team can answer them.
Your mailbox, with a teammate who never sleeps. The email stays in Gmail, the context comes from VIVIN, and your team only steps in where it adds something.
