Best student housing software in Europe (2026): 7 tools compared

Best student housing software in Europe (2026): 7 tools compared

Continental Europe has purpose-built beds for about 15% of its students, against 32% in the UK, according to JLL, and HousingAnywhere counted 14.5 interested students per room in August 2026. Yet most "best student housing software" lists we found in October 2026 were written by vendors or generated by AI, lean on US multifamily tools, and skip what European operators need: room contracts with guarantors, rent by bank transfer, HousingAnywhere, Spotahome and Uniplaces, and local invoicing.

The best student housing software in Europe in 2026 depends on who you are. Universities and large PBSA portfolios: StarRez, Kinetic (Kx) or Yardi. PBSA operators that sell empty beds as summer short stays: Lavanda. Private operators of student residences, shared flats and coliving that need EU student portals, guarantor signatures and rent by virtual IBAN: Vivin, our own product. UK student houses let room by room: Arthur Online. Spanish room rentals with Verifactu invoicing: Homming.

Disclosure: Vivin is our product, so we list it first. Every other tool gets a fair "best for" line and facts from its own website in October 2026, linked so you can check them. We do not publish review-site scores; "not stated" means we did not find it on the vendor's public pages, not that it is missing.

What is the best student housing software in Europe in 2026?

After Vivin, the tools go from the most specialised in student housing to the most general.

1. Vivin - for private student residences, shared flats and coliving

Best for: private operators in Europe that let student rooms or beds for a semester or an academic year and fill them through HousingAnywhere, Spotahome and Uniplaces.

  • Rooms, beds and guarantors. Each listing is a whole property, a room or a bed. Contracts come from your own Word templates and are signed in the tenant portal by the student, a second tenant and a guarantor, in the same flow. An optional Residences module, new in October 2026, adds room types, floors and a Room assignment board.
  • Rent that follows the academic year. Monthly or up to four instalments, with a virtual IBAN per booking (EUR) whose payments are reconciled automatically, plus card, MB WAY, Apple Pay and Google Pay.
  • Portals and summer gaps. HousingAnywhere, Spotahome and Uniplaces through feeds and webhooks, Idealista through a file feed, and Airbnb and Booking.com through an official API connection to sell empty rooms by the night in summer.
  • Move-in to move-out. A four-phase digital check-in and check-out, room inventories with photos, utility bills split across occupied rooms, invoicing connections for Portugal (Invoice Express, Hostkit) and Italy (A-Cube, SdI), and five languages.

Pricing: Starter €200/month for up to 25 listings (€150 billed annually); Growth €8 per listing per month from 26 to 200 (€6 billed annually); Enterprise on quote. HQ: Portugal. Good to know: Vivin is built for private operators, not university housing offices. There is no native iOS or Android app (the tenant portal installs from the browser), no SEPA Direct Debit and no tenant credit checks. See Vivin for student housing.

2. StarRez - for university housing and large PBSA

Best for: universities and large PBSA operators that want a dedicated student housing platform.

  • Built for university housing, with off-campus and PBSA operators also served.
  • Housing and event management with billing automation, a self-service resident portal and mobile room inspections.
  • StarRez reports more than 1,300 customers in over 25 countries.

Pricing: not public. HQ: offices in Greenwood Village (Colorado, US), London and Melbourne. Website: starrez.com

3. Kinetic (Kx) - for UK and Irish universities and PBSA

Best for: universities and PBSA operators in the UK and Ireland that also run conferencing and sell spare beds.

  • KxPayments, which Kinetic calls the first Open Banking solution for the higher education sector.
  • BedBooker, which distributes non-student beds to 90+ OTAs.
  • Kinetic says it manages 700,000+ student bedrooms in 20+ countries and works with over 80% of universities in the UK and Ireland.

Pricing: not public. HQ: UK (Milton Keynes and Ludlow), with offices in Chicago and Sydney; founded in 1998, backed by Volaris Group. Website: kineticsoftware.com

4. Yardi - for large PBSA portfolios on an enterprise platform

Best for: large PBSA owners and operators that want student housing inside an enterprise property and accounting platform.

Pricing: not public. HQ: not verified. Website: yardi.com

5. Lavanda - for PBSA with summer short stays

Best for: PBSA operators that sell empty beds as summer short stays from the same system.

  • An "OpenPMS" that runs stays of days, weeks, months and years through one record and one ledger.
  • A journey to search, book, sign and pay, a room rack, and invoicing, instalments and collections on that ledger.
  • Short Stays for PBSA summer periods, with 450+ rental channels and OTAs.
  • A branded resident app and an open API.

Pricing: not public. HQ: London, with an office in New York; Lavanda says it supports 12+ European countries. Website: getlavanda.com

6. Arthur Online - for UK student houses let by the room

Best for: UK letting agents and landlords who let student houses (HMOs) room by room.

  • Manage by property or by room, with apps for tenants, owners, contractors and managers.
  • Live UK bank feeds, automated rent reminders and two-way Xero sync.
  • Adverts on Rightmove, Zoopla, OnTheMarket and StuRents, and e-signatures through Signable, charged per envelope (from £1.75 for one, excluding VAT).

Pricing: from £82.50/month, billed annually (Standard: 55 units included, £1.50 per unit); signatures, SMS, portals and the live bank feed cost extra. HQ: London; part of Aareon since 2020. Good to know: HousingAnywhere, Spotahome, Uniplaces and Idealista are not among its listed integrations, and invoicing outside the UK is not stated. Compare Vivin vs Arthur Online. 7. Homming - for student rooms in Spain

Best for: Spanish operators letting rooms in shared flats or small residences who need SEPA remittances and Verifactu invoicing.

  • Contract templates signed through Signaturit (120 signatures a year on Starter, 300 on Advanced).
  • SEPA remittance files, bank connections that import transactions three times a day, and Verifactu e-invoicing on Advanced and Enterprise.
  • Idealista publishing on every plan, and tenant, owner and supplier portals with an iOS and Android app.

Pricing: from €47/month billed annually (Starter, up to 10 assets), excluding VAT; quote above 50 assets; the booking engine is an add-on. HQ: Madrid. Good to know: for Airbnb and Booking.com, its help centre documents an iCal calendar sync. Compare Vivin vs Homming. Website: homming.com

How do you choose student accommodation management software?

Before any demo, check these ten points against the way you let rooms:

  • Room- and bed-level contracts - each room or bed with its own contract, rent and deposit.
  • Academic-year payment plans - monthly, per semester or the whole year upfront.
  • Recurring rent and reconciliation - card, transfer, virtual IBAN or SEPA Direct Debit, each payment matched to the right student automatically.
  • Guarantors and co-tenants - a parent signs the same contract online, before or after the student.
  • Student portals - HousingAnywhere, Spotahome, Uniplaces, Idealista or StuRents: which are connected, and how (API, feed or calendar link)?
  • Summer short stays - empty rooms on Airbnb, Booking.com or other OTAs without double bookings.
  • Check-in, check-out and inventory - arrival checklists and room inventories with photos that settle deposit disputes.
  • Utilities split - bills shared between occupied rooms, with a cap for bills-included rents.
  • Local invoicing - certified invoicing in Portugal, SdI in Italy, Verifactu in Spain.
  • Languages and tenant app - a portal in the student's language, native app or installable web app.

Frequently asked questions

What is the best student accommodation management software in Europe?

It depends on the operator: StarRez, Kinetic (Kx) or Yardi for universities and large PBSA portfolios, Lavanda for PBSA with summer short stays, Arthur Online for UK student houses, Homming for Spanish room rentals, and Vivin, our product, for private residences, shared flats and coliving that need EU student portals and guarantor signatures.

What is PBSA software?

PBSA stands for purpose-built student accommodation: residences built and run for students. PBSA software handles bookings or applications, room and bed allocation, academic-year rent, a resident portal, maintenance and often summer short stays. University systems such as Kinetic add conferencing; tools for private operators focus on portals, contracts and rent collection.

Is Vivin a good alternative to StarRez or Kinetic?

For a different kind of operator. StarRez and Kinetic are built around universities and large PBSA portfolios, and a university housing office will usually be better served by them. Vivin is built for private operators letting rooms or beds, with contracts, guarantors, rent collection, EU student portals and Airbnb and Booking.com in one place.

Which student housing software connects to HousingAnywhere, Spotahome and Uniplaces?

Of the seven tools here, Vivin connects all three through feeds and webhooks, plus Idealista through a file feed. Homming publishes on Idealista and Arthur Online lists StuRents and UK portals; the other four do not state these portals on the pages we reviewed. Among short-term tools, Hostify connects HousingAnywhere and Uniplaces.

Can student housing software rent out empty rooms in summer?

Yes, in different ways. Kinetic's BedBooker distributes non-student beds to 90+ OTAs and Lavanda's Short Stays reach 450+ channels. Vivin connects each room to Airbnb and Booking.com through an official API, with its own nightly price and minimum stay, while academic-year bookings keep their dates closed. Homming documents an iCal sync.
