Booking engine PMS integration: direct bookings, no retyping
A tenant books a room on your website on Sunday night. On Monday, someone copies the name, dates, rent, deposit and fees into the PMS, blocks the dates on Airbnb and the portals, prepares the contract and the payment plan, and hopes nobody else took the room in between. At 15-20 minutes a booking, 40 direct bookings a month are 10-13 hours of copying, and every retyped amount is a chance for a typo.
With Vivin's booking engine, there is nothing to copy. The booking site reads its rooms from Vivin, and a direct booking lands in Vivin as a normal booking with the dates, the rent, the deposit and the fees. That is booking engine PMS integration in practice: direct bookings go into your PMS, close the dates on every channel and move on to the contract, the payment plan and check-in.
Why does copying direct bookings by hand go wrong?
- Typos in money - a rent of €650 typed as €560, or a deposit left out, shows up weeks later as a debt nobody owes.
- A window for double bookings - between the booking and someone blocking the dates, the room is still on sale everywhere else.
- Two listings to keep - prices, photos and availability edited on the website and again in the PMS drift apart.
- Slow paperwork - the contract and the payment plan wait until someone has time to type the booking in.
What happens after a tenant books on your booking site?
1. The room comes from Vivin
There is no second listing to keep for the booking site: the rent, the availability and the photos come from Vivin. Change a rent or block a room in Vivin, and the booking site follows. The room's stay rules, such as the minimum and maximum stay and the booking window, decide which dates a tenant can choose.
2. The booking lands in Vivin
When the tenant books and pays the first month's rent, the booking arrives in Vivin as a normal booking on the right room, with the tenant, the dates, the rent and the listing's deposit and fees. Nobody types it in, and it sits in the same bookings list as the ones from your other channels.
3. The dates close on every channel
Because the booking is in Vivin, its dates are taken everywhere Vivin publishes the room: on the Multicalendar, on Airbnb and Booking.com through the native channel manager, and on the portals your channel manager feeds. Channels connected by calendar link pick up the change on their next sync.
4. The contract
The booking is ready for the same contract flow as any Vivin booking: the contract is built from your template with the booking's details, and the tenant signs it online, together with any co-tenant or guarantor.
5. The payment plan
The deposit, the fees and the monthly rents go on the booking's payment plan, the same kind you use for every other booking, and are collected with Vivin payments.
6. Check-in
If you use Vivin's digital check-in, the tenant follows the same steps as everyone else before arriving: contract, move-in payments, arrival time and house rules.
Direct booking to PMS vs copying by hand: the numbers
An illustrative estimate for an operator with 40 direct bookings a month:
| Step | Copied from emails and forms | Booking site connected to Vivin |
|---|---|---|
| Creating the booking with dates, rent, deposit and fees | 10-15 minutes | Created by the booking |
| Blocking the dates on other channels | 3-5 minutes, plus a risk window | Closed from the booking |
| Checking the amounts for typos | 2-3 minutes | Taken from the listing |
| Updating rent, photos and availability on the website | 1-2 hours a month | Done once, in Vivin |
| Team time per month (40 bookings) | 12-17 hours | Under 1 hour of review |
That is roughly 11-16 hours a month back, and a much shorter window in which a room booked on your site is still on sale elsewhere.
A direct booking from Sunday night to Monday morning
Take an illustrative coliving operator in Lisbon with 80 rooms. On Sunday at 23:10, a student books a €650 room from 1 February for five months on the operator's booking site and pays the first month's rent by card. On Monday at 9:00, the booking is already in Vivin with the dates, the €650 rent and the listing's €650 deposit and €150 admin fee, and the room is closed on Airbnb and the portals. The team reviews it and sends the contract, as for any booking: about five minutes instead of twenty.
How to connect your booking site to Vivin
- Keep each room's rent, availability and photos up to date in Vivin: the booking site reads them from there.
- Set each room's stay rules: minimum and maximum stay and booking window.
- Connect your other channels in Vivin, so a direct booking closes the dates everywhere.
- Prepare your contract template and payment settings, so every new booking is ready to sign and collect.

Frequently asked questions
Do direct bookings from my website go straight into the PMS?
Yes. A booking made on a Vivin booking site lands in Vivin as a normal booking, on the right room, with the tenant, the dates, the rent and the listing's deposit and fees. Nobody types it in, and from there it follows the same contract, payment plan and check-in as your other bookings.
Do I need to keep a separate listing for my booking site?
No. The booking site reads its rooms from Vivin: the rent, the availability and the photos come from there. When you change a rent or block a room in Vivin, the booking site follows, so there is no second listing to keep in sync.
Can a room be double-booked between my website and Airbnb or the portals?
The booking site only offers dates that are free in Vivin, and a booking in Vivin closes its dates on the channels Vivin is connected to: through the API for Airbnb and Booking.com, and on the next sync for channels connected by calendar link. That closes the gap that opens when someone has to block the dates by hand.
What does a booking engine PMS integration save?
Mostly copying time and mistakes. In an illustrative estimate, an operator with 40 direct bookings a month spends 12-17 hours copying bookings, blocking dates and checking amounts by hand, against under an hour of review when the booking site and the PMS share the same data.
Book once, sell everywhere. When your booking site and your PMS share the same rooms, a direct booking needs a review, not a retype.
